Sample Questions for a P-Card Quiz

Training cardholders and their managers on P-Card policies and procedures is a must. Regardless of your training method (in-person, virtual, on-demand), following it up with an electronic quiz can help you assess how well trainees have learned the material. Stumped for ideas? Focus on important content and key points everyone should know. Following are suggestions for a quiz introduction and 10 sample questions.

Quiz Introduction

Express why the training and quiz are important, framing it up in a way that addresses what is in it for them. For example:

Completing the P-Card training and quiz sets the stage for your success at fulfilling your designated P-Card program role, which is a component of your annual job performance review. You will be better equipped to make the right P-Card-related decisions and perform procedures with ease, thereby supporting the organization’s goals.

Sample Questions

1. What is the primary reason the [Company] has a Purchasing Card (P-Card) program?

  • To make the purchasing experience more fun

  • To achieve process savings and efficiencies

  • To accommodate employees working remotely

  • To help departments manage their budgets

2. Who is authorized to use a P-Card?

  • The cardholder to whom it is issued and, if desired, their manager

  • Any employee the cardholder feels is trustworthy

  • The cardholder to whom it is issued and their designated “backup”

  • Only the cardholder to whom it is issued

3. What is the purpose of P-Card transaction reconciliation by cardholders?

  • To ensure contract minimums are met

  • To identify suppliers for strategic sourcing initiatives

  • To verify the accuracy/validity of charges

  • To help accounts payable with supplier set-up

4. When is it acceptable to make a personal purchase with a P-Card?

  • If the cardholder plans to reimburse the [Company] within 30 days

  • If the cardholder’s manager approves it in advance

  • If the cardholder’s personal card does not work

  • Personal purchases should never intentionally go on a P-Card

5. Per the internal P-Card agreement, what is a potential consequence for fraudulent use of the card?

  • Employment termination

  • Mandatory refresher training

  • A “strike” in the three-strikes-and-you’re-out plan

  • Increased scrutiny from internal audit

6. Line-item detail is one component that must be included within the supporting documentation for every transaction. What does line-item detail mean?

  • The purchase date, supplier, and dollar amount

  • What was purchased—each product and/or service

  • Supplier name, contract number (if applicable), and PO number

  • The cardholder name, budget code, and last four digits of the account number

7. What is the [Company] rule about Amazon usage?

  • Buy as much as possible from Amazon.com

  • The P-Card can be added to an employee’s personal Amazon profile

  • Contact the P-Card program manager to be set up for the Amazon Business account

  • Amazon usage is not allowed

8. If you suspect someone is using a card to commit fraud, such as using the card for personal gain, what is the best action to take?

  • Watch them closely for a few weeks to see what happens

  • Do not get involved; it is not your job

  • Email the person’s manager

  • Submit your concerns (anonymous or not) via the internal tip line

9. When returning or cancelling an order paid via P-Card, what is the only acceptable type of refund for the cardholder to receive?

  • Credit to the P-Card

  • Store/supplier voucher or gift card

  • Cash back

  • A check made out to the [Company]

10. Who is allowed to purchase employee gifts (e.g., food, flowers, gift cards, etc.) on a P-Card?

  • Any cardholder who receives manager approval

  • Designated Human Resources cardholders only

  • Only manager-level cardholders

  • No one; employee gifts are not allowed

Finally, before launching a quiz organization-wide, it can be beneficial to have a small “test group” (cardholders and managers) complete the quiz and offer feedback.
